170 Systems, Inc. Sees Self-Service Applications Gaining Traction in Corporate Enterprises

Document Management Integration Extends Web-Enabled Business Processes, Including Expense Management Automation, Human Resources and Online Procurement

ORACLEWORLD, SAN FRANCISCO - November 11, 2002 - Organizations burdened with the tasks of processing the mountains of paperwork generated by routine business processes received welcome news today at the OracleWorld conference in San Francisco. By offering Web-based, self-service functionality for business processes, applications like Oracle iProcurement, Oracle InternetExpenses, and Oracle® Human Resources Management System (HRMS), streamline the execution of these processes. 170 Systems integrates document management and business process management with these applications to further enhance the processes.

Discussing these advances, Karl Büttner, president of 170 Systems, a leading provider of content management, document management and business process management software solutions stated, "Integrating document management with self-service applications is a vital link in streamlining business processes and ensuring greater return on enterprise application investments. Automating paper-bound processes and integrating unstructured data with enterprise applications and processes can reduce processing costs, improve efficiency, and help ensure compliance with policies."

By integrating self-service enterprise applications with business process and document management systems such as 170 MarkView, Sandia National Laboratories, Granite Services, Inc., British Telecom, New York City Housing Development Corporation and AT&T have reduced the amount of time their administrative staff and management spend dealing with the reams of paper typically involved with business functions.

Paperless Expense Reporting
When a company brings a self-service expense reporting and document management application online, employees submit receipts in an integrated fashion with their online expense reports. This eliminates the need to send receipts and other back-up documents via internal or external mail. Back-up materials enter the system immediately and lost receipts are no longer an issue. Receipt images are automatically associated with employee expense reports, allowing Accounts Payable staff to avoid manual checking and filing of paper receipts. Managers view employee expense reports and back-up with their online expense reporting application, such as the Internet Expenses capabilities of the Oracle E-Business Suite, and approve requests directly within the application or they can send them back to employees requesting more information. As an additional benefit, the 170 MarkView System integrates with project billing and accounts receivable applications for those businesses that rebill expenses to their clients or customers.

"Before we automated the document management portion of our expense reporting process, our accounts payable team needed to process paperwork three times - when we received it from our employees, when it was attached to our customer's invoices, and again when we made archives for our records," said Amit Shankar, IT director for Granite Services, Inc. "With our 170 MarkView solution, we have cut substantially the time it takes to process paperwork and issue re-billing invoices to our customers."

Access and Process Orders Online, Remove Paper-Bound Procurement Processes
"Web-enabled purchasing is only the first step in streamlining a company's procurement process," says Nord Samuelson, Vice President of Professional Services at 170 Systems. "By integrating online procurement with document management functionality, enterprises will dramatically reduce the amount of time its staff and management spend processing requisitions, RFPs, contracts, terms and conditions, purchase orders and the like. This also significantly reduces auditing time and increases auditing accuracy."

170 MarkView supports a full spectrum of information communication mechanisms and formats, allowing any party in the procurement process to submit, receive and view documents and their related transactions. Suppliers, internal staff and other partners can use Internet portals, fax, EDI, XML, and email to expedite the process and ensure accuracy. The workflow capability offered facilitates the internal review and approval of the complete transaction - both the structured data and its associated backup documentation.

"To reduce our costs, we first had to Web-enable the processes used by our suppliers and our internal purchase requisitioners. This gave them - and us - a faster, easier, and less expensive way to conduct business on a daily basis," said Suzie Simpson, Computer Analyst, Procurement, Sandia National Laboratories.

Human Resources and Employee Relationship Management
Unstructured data from employees, such as benefits forms or employee identification pictures enters organizations from a number a different sources, and simply managing employee files can drain the resources of the entire HR department. 170 MarkView automates HR processes by capturing documents electronically and integrating these with the structured data files of your existing HR application software.

"The 170 MarkView Solution integrated with Oracle Human Resources gives employees and managers self-service online access to all of the HR information they need - both structured and unstructured - streamlining the associated HR processes," adds Büttner.

The 170 MarkView System is a complete solution enabling businesses to manage all content, regardless of source or original format. It is designed to leverage and extend the functionality of the Oracle E-Business Suite, in areas such as Internet Expenses, Internet Procurement, Projects, Human Resources, and many financial processes. 170 MarkView is integrated with all of the Oracle E-Business Suite applications, and is deployed today by leading businesses in over 40 countries worldwide.
