Automates and Integrates Fax Transmissions
Secure, online access to all business information and documents is the key to optimizing business processes. Easy and intuitive information access is at the core of the 170 MarkView system where any business document, regardless of source or format, can be captured, stored, accessed by authorized users, and utilized in business processes. Because faxing is still an essential element of today's business communications, 170 MarkView provides a robust, full-featured capability that manages inbound and outbound fax transmissions as well as unique, automated functions that optimize an organization's business process.
170 MarkView® Fax Server integrates inbound and outbound fax transmissions into 170 MarkView's best practice workflow solutions. Inbound fax transmissions, such as order forms, expense statements & receipts, and invoices are automatically received by the 170 MarkView Fax Server and stored as digital documents where they can then be routed, annotated, and updated online. Similarly, stored electronic documents can be distributed to remote locations, via fax, with no manual intervention.

Integrating Fax Communications to Optimize Best Practice Workflows

Documents and forms faxed between local and remote offices, or between an enterprise and its suppliers and customers, represent a significant volume of material for an organization's operational process. The 170 MarkView Fax Server optimizes this important communications channel by eliminating the need for clerical support to receive, review, and route this information. For example, if a company uses fax transmissions to gather employee expense statements and associated backup receipt information, the accounts payable department needs clerical resources to handle and distribute these faxed forms to the proper agent for resolution. Implementing the 170 MarkView Fax Server eliminates this need for clerical intervention. Not only does the 170 MarkView Fax Server automatically receive and store expense statements in 170 MarkView, the solution can be configured with form recognition technology and workflow scenarios that can be triggered automatically based on data in specific fields. This means an expense report for $2,500 from a regional sales office can be automatically routed for approval to the manager responsible for that region.
The results are dramatically reduced overhead with improved service levels, increased accuracy and cost control, improved visibility into expenditures, and faster payments.
Optimizing Fax Communications
Where fax transmissions are a critical method for executing business transactions - such as maintaining vendor information - the 170 MarkView Fax Server can enhance the efficiency of the process, while reducing associated operating expenses. Required forms such as W9's are automatically faxed to suppliers as part of the supplier setup process. After completing the form, the W9 is faxed back and automatically attached to the ERP supplier record. Maintaining complete documentation for suppliers in this fashion strengthens internal controls for vendor maintenance.
